To set up the Complete Dynamics Cloud Server and create an account for online access, follow this step-by-step guide based on the official documentation.
Phase 1: Preparation (Requirements)
Before you can create an online account, you must fulfill these four prerequisites:
- Valid License: You must have a professional Complete Dynamics license that includes the “Cloud Server online” option.
- License Key: You need the License Key sent to you via email when you purchased the software.
- Cloud PIN: You must have a Cloud PIN generated from within your Complete Dynamics software (see Phase 2).
- Registered Email: You must use the same email address that is registered with your license.
Phase 2: Setting up the Cloud Server (Software Side)
You must configure the Cloud Server within the Complete Dynamics application on your computer first.
To set up the Cloud Server within the Complete Dynamics software, you are essentially “linking” your local computer to the secure online storage.
1. Locate the Activation Setting
You don’t need to look for a “cloud” button on the main screen. Instead, go to the technical settings:
- Open the General menu.
- Select Preferences.
- In the sidebar or tabs, click on the Case section.
2. Enable the Connection
Inside the Case settings, look for a checkbox or toggle labeled “Use Cloud Server.” * Checking this box tells the software to stop storing cases only on your hard drive and to start syncing them with the secure Complete Dynamics server.
3. Create Your “Master” Cloud PIN
If you have never used the Cloud before, a window will pop up automatically.
- What it is: This PIN is a private encryption key.
- Why it matters: Complete Dynamics staff cannot see your patient data because it is “locked” by this PIN before it even leaves your computer.
- Action: Choose a PIN you will remember.
4. How to Change it Later
If you feel your PIN has been compromised or you simply want a new one, you don’t go back to Preferences. You use the database management menu:
- Go to Menu -> Case.
- Select Case database.
- Click Change Cloud PIN.
⚠️ Important: The “Second Device” Rule
The most important thing to remember is that this PIN is the key to your data. If you go to a second computer (for example, a laptop at your home office) and turn on “Use Cloud Server” there, the software will ask for this exact same PIN. If you don’t have it, the two devices won’t be able to “talk” to each other, and you won’t see your cases.
How to verify if your cases are successfully syncing once this is turned on?
- Open the Complete Dynamics software.
- Go to the Case Module.
- Look for the Cloud settings or synchronization options.
- Configure your Cloud PIN: This is a security code you create to encrypt your patient data. Note this PIN down; it is required to access your data from any other device.
- Ensure your cases are synchronized/uploaded to the Cloud from within the program.
Phase 3: Creating your Online Account (Web Side)
Once the software is configured, you can create the web account to view your cases in a browser.
- Visit the Creation Page: Go to the Complete Dynamics Account Creation Page.
- Enter License Details: Provide your License Key and the Email Address associated with your purchase.
- Security Verification: Enter your Cloud PIN (the one you set up in Phase 2). This ensures that only you can authorize the web link to your private data.
- Submit: Follow the prompts to finish the registration.
Phase 4: Accessing your Data Online
After the account is created, you can access your patient files from any web browser (no software installation needed):
- Go to the Complete Dynamics Homepage.
- Click the Login button.
- Enter your Email, Password, and Cloud PIN.
